§ 1. Scope of Validity
The IT Center's AI ChatBot can be accessed via the IT Center's website (itc.rwth-aachen.de) and the public documentation (help.itc.rwth-aachen.de). It can be used by anyone who has questions about the IT Center's services.
§ 2. Services
The AI ChatBot provides functions from the field of generative artificial intelligence (AI). Users can use the service to get help or information about problems with the IT Center services. To do this, users enter requests in text form, which are processed by the AI system and answered again in text form. The service can be accessed via a web browser. The service makes it possible to obtain information and help on IT Center services even outside the IT Center's service hours.
If the help provided by the AI ChatBot is not sufficient, a ticket can be created automatically for further processing by employees of the IT Service Desk. Alternatively, during service hours, it is possible to be forwarded directly from the chat with the AI ChatBot to a member of staff.
§ 3. Intended Use
The service must be used exclusively for the purpose of using support services or obtaining information in the context of IT Center Services. Users are not authorized to use the service for private purposes. However, users are entitled to transmit links to and copies of inputs and outputs of the service to third parties, provided that this transmission is legally compliant and permissible.
§ 4. Obligations of the User
4.1 Property Rights of Third Parties
The service must be used in compliance with all third-party property rights. Violations may result in restrictions, blocking or permanent exclusion, without prejudice to other consequences under criminal or civil law.
In accordance with Art. 22 Para. 1 GDPR, no decisions may be made solely on the basis of the recommendations of the AI ChatBot that have legal effect on a natural person or significantly affect them in a similar manner.
The final decision-making authority must lie with a natural person. AI content and answers may be incorrect, please always check important information yourself.
4.2 Personal Data of Third Parties
The input of personal data in accordance with Art. 4 Para. 1 GDPR as input to the AI ChatBot is generally not permitted. This includes, among other things:

4.3 Penalties for Violations
Users of the IT Center Services may be subject to restrictions, blocking or permanent exclusion from the use of selected IT Center Services, irrespective of other consequences under criminal or civil law, if there is reasonable suspicion that the use is unlawful and/or infringes the rights of third parties.
Reasonable suspicion of illegality and/or infringement of rights exists in particular if courts, authorities and/or other third parties inform RWTH of this.
Other violations of the provisions of these Terms of Use, in particular the obligations under Section 4 paragraphs 1 - 2 and improper use for purposes other than those specified in Section 3, also entitle RWTH to restrict, block or permanently exclude the use of selected IT Center Services.
RWTH must immediately inform those affected of the extent of the restrictions resulting from the sanction and the reason for this. If the suspicion can be refuted, the restrictions and the sanction itself must be lifted immediately.
§ 5. Data Protection
No person-related data of users is stored. The chat histories are stored internally at the IT Center in anonymized form. It is not possible to draw any conclusions about the person making the request.
The data processed internally at RWTH Aachen University is processed and stored on servers that are administratively operated by the IT Center. The server location is Aachen.
The data processed by Microsoft is processed on servers in the EU in accordance with the regulations of the EU Data Boundary for the Microsoft Cloud (EUDB).
Input and output data is not used for training purposes.
